WBHRB Staff Nurse Documents Required: Nursing Registration, Certificates, Experience & Verification Checklist

Candidates preparing for the next WBHRB Staff Nurse Grade-II recruitment should organise their documents well before the application form opens.

In the latest major WBHRB Staff Nurse recruitment, candidates were recruited through separate streams for:

  • GNM Female
  • GNM Male
  • Basic B.Sc. Nursing
  • Post Basic B.Sc. Nursing

The recruitment advertisements required candidates to upload educational certificates, Nursing Council registration and other supporting records online. WBHRB also issued resubmission opportunities for candidates whose applications had problems because of mismatched information or missing/unclear essential documents, showing how important correct document uploading is.

The most important document for nursing candidates was the:

West Bengal Nursing Council Registration Certificate / Reciprocal Registration Certificate

In fact, WBHRB issued a corrigendum making the registration-date condition stricter for the previous recruitment.

The exact requirements for a future recruitment can change. Candidates should always follow the new advertisement, corrigenda and individual interview call letter.


  1. West Bengal Nursing Council Registration — Most Important Document

For WBHRB Staff Nurse recruitment, having the nursing qualification alone was not sufficient.

The previous recruitment required:

For GNM

Registration as:

Female/Male Nurse Midwifery

with the:

West Bengal Nursing Council — WBNC

For Basic/Post Basic B.Sc. Nursing

Registration as:

Female Nurse Midwifery

with WBNC under that particular recruitment structure.


WBNC Registration Cut-Off Rule Was Very Strict

WBHRB issued an important corrigendum dated 12 August 2025.

For the GNM advertisement, it stated that only candidates having a valid:

Registration Certificate

or:

Reciprocal Registration Certificate

issued by WBNC as Female/Male Nurse Midwifery on the date of publication of the advertisement could apply.

For Basic/Post Basic B.Sc. Nursing, the corresponding valid WBNC registration/reciprocal registration as Female Nurse Midwifery was required on the advertisement date.

In practical terms, for that recruitment:

«Completing nursing first and planning to obtain WBNC registration after the advertisement was issued was not sufficient.»


Can Provisional Registration Be Accepted?

The detailed previous GNM advertisement stated that a:

Valid Provisional Registration Certificate

and/or:

Provisional Degree/Diploma Certificate

issued by the competent authority could be accepted under that recruitment's conditions.

However, candidates should not automatically assume the next recruitment will use exactly the same rule.

The next WBHRB advertisement will decide:

  • whether provisional registration is accepted,
  • what the qualifying date is,
  • and whether final registration must already exist.

What Is Reciprocal Registration?

Candidates who originally registered with another State Nursing Council may need:

WBNC Reciprocal Registration

to satisfy West Bengal recruitment requirements.

The WBNC currently maintains a dedicated reciprocal-registration process.

Its guidelines require candidates to complete an online application and verification procedure. Documents required by WBNC can include the registration certificate issued by the parent council, nursing diploma/degree, course-completion certificate, date-of-birth proof and other applicable records.

Therefore:

Studying nursing outside West Bengal does not automatically make you ineligible.

But obtaining the correct WBNC reciprocal registration within the WBHRB eligibility date can become crucial.


  1. GNM Documents Required

The latest detailed GNM advertisement required candidates to upload:

Higher Secondary Documents

  • Higher Secondary/equivalent marksheet
  • Supplementary marksheet, if any
  • Pass certificate

These were to be combined into a:

single running PDF

for upload.


GNM Course Documents

GNM candidates were instructed to upload:

  • First-year marksheet
  • Second-year marksheet
  • Third/final-year marksheet
  • Any supplementary marksheets
  • GNM pass certificate

The advertisement specifically required all years' marksheets, including supplementary records where applicable, together with the GNM pass certificate.

These documents were to be combined into one running PDF.


Do Supplementary Mark Sheets Need to Be Uploaded?

Yes, if applicable.

This is important.

A candidate should not upload only the final clean marksheet and hide an earlier supplementary examination record when the advertisement asks for:

all years' marksheets including supplementary marksheets.

Missing required supplementary documents can create mismatch or verification problems later.


  1. B.Sc Nursing Documents Required

Basic B.Sc. Nursing candidates should ordinarily keep ready:

  • Higher Secondary marksheet
  • Higher Secondary pass certificate
  • All Basic B.Sc. Nursing year/semester marksheets
  • Supplementary marksheets, if any
  • Degree/pass certificate
  • WBNC registration
  • Reciprocal registration, where applicable

Post Basic B.Sc. Nursing candidates should similarly keep:

  • Required school-level qualification documents
  • GNM-related documents where applicable to the qualification route
  • All Post Basic B.Sc. Nursing marksheets
  • Post Basic B.Sc. Nursing degree/pass certificate
  • WBNC registration
  • Reciprocal registration where applicable

The previous recruitment required Basic/Post Basic B.Sc. Nursing to be from a college recognised by the Indian Nursing Council and the respective State Nursing Council.


  1. Conversion Sheet — Very Important for Grade-Based Results

If your University/Board gives:

  • CGPA
  • GPA
  • Letter grade
  • Grade point

instead of direct percentage/marks, do not simply calculate your own percentage without supporting proof.

The previous WBHRB Staff Nurse instructions required a:

Conversion Sheet

to be uploaded together with the marksheets where marks were given in a grade pattern.

The advertisement warned that candidature could be rejected if the required conversion document was not uploaded.

Best practice

Keep an official:

  • University conversion formula,
  • Board conversion certificate,
  • or officially issued grade-to-percentage conversion sheet

ready.


  1. Age Proof

The previous GNM advertisement accepted age-proof documents such as:

  • Secondary/Class 10 admit card
  • Class 10 marksheet
  • Class 10 certificate
  • Government ID proof containing the required identifying details

The document needed to establish the candidate's:

  • Name
  • Father's name
  • Date of birth.

For most candidates, the Madhyamik/Class 10 admit card or certificate is one of the safest documents to organise first.


  1. Name Mismatch After Marriage

This is particularly important for candidates whose nursing certificates show a maiden surname but the WBHRB application uses a married surname.

The previous advertisement allowed supporting documents such as:

Marriage Registration Certificate

or, where unavailable:

Affidavit before a Judicial Magistrate/Executive Magistrate regarding surname change after marriage.

Candidates should not leave name mismatches unexplained.


What If My Name Is Slightly Different Across Certificates?

Examples:

  • “Moumita Das” vs “Moumita Rani Das”
  • Father's middle name missing
  • Married surname vs maiden surname
  • Spelling difference in English
  • Initial used in one certificate

These issues should be resolved or supported with legally valid documentation before verification.

Do not assume the recruiter will automatically understand that both names refer to the same person.


  1. Experience Certificate

Experience deserves careful explanation.

In the previous Staff Nurse advertisement:

Relevant experience was not mandatory for basic GNM eligibility.

However, candidates who claimed relevant experience were required to provide documentary evidence.


Government or Private Hospital Experience?

The previous advertisement accepted relevant working experience in:

Government

or:

Private healthcare facilities.

Therefore, private-hospital experience was not automatically excluded.

However, the certificate had to meet WBHRB's documentary requirements.


What Must an Experience Certificate Contain?

The previous GNM advertisement required the experience certificate to be issued by the:

Head of the Institution/Hospital

where the candidate worked.

It had to be on:

Proper institutional letterhead

and include:

  • Requisite seal/stamp
  • Memo number
  • Date of issue.

This is much stronger than a simple unsigned HR printout.


Recommended Experience Certificate Details

Even when not explicitly listed word-for-word in every notification, a strong employment certificate should clearly mention:

  • Candidate's full name
  • Designation
  • Staff Nurse/Nursing role
  • Name of institution/hospital
  • Date of joining
  • Date of leaving or “currently working”
  • Nature of employment
  • Relevant nursing/clinical work
  • Authorised signatory
  • Designation of signatory
  • Institution seal
  • Memo/reference number
  • Issue date

Avoid vague certificates saying only:

«“She worked with us and her conduct was good.”»

The employment period and nursing designation should be clear.


Multiple Experience Certificates

If a candidate worked in more than one hospital, WBHRB's previous instructions allowed candidates to provide multiple experience records.

Candidates were instructed to combine all relevant experience certificates into:

one running PDF

for upload.

Keep them arranged chronologically.

For example:

  1. Hospital A — January 2022 to June 2023
  2. Hospital B — July 2023 to December 2024
  3. Hospital C — January 2025 onward

This makes verification much easier.


Experience Was Not Mandatory in the Previous Staff Nurse Recruitment

This distinction is very important.

The previous GNM advertisement explicitly reiterated that relevant healthcare experience:

was NOT mandatory.

So a fresh eligible GNM candidate could apply without hospital experience.

Later in that recruitment cycle, WBHRB introduced the CBT-led selection system and removed separate qualification/experience marks from the revised merit formula.

Therefore:

«Do not confuse “experience certificate if claimed” with “experience compulsory for every Staff Nurse applicant.”»


  1. Clinical Speciality Diploma

The previous GNM advertisement also contained an optional:

Diploma in Clinical Speciality — Minimum 1 Year

Candidates claiming this qualification were required to upload the relevant:

  • Diploma marksheet
  • Certificate

in the prescribed format.

The advertisement expressly stated that the clinical-speciality diploma:

was not mandatory.

So candidates without this diploma were not automatically ineligible.


  1. M.Sc. Nursing Certificate

For B.Sc./Post Basic B.Sc. candidates, M.Sc. Nursing could appear as an additional qualification under the original recruitment scoring structure.

If the next recruitment asks for additional qualifications, candidates claiming M.Sc. Nursing should keep:

  • All M.Sc. Nursing marksheets
  • Degree/pass certificate
  • WBNC additional qualification details where applicable

ready.

The WBNC currently also maintains a process for recording additional qualifications.


  1. SC/ST Certificate

Candidates claiming SC or ST reservation must possess a certificate from the competent West Bengal authority under the applicable State rules.

The previous advertisement specified competent authorities, including the relevant Sub-Divisional Officer in districts and the prescribed welfare authority for Kolkata.

Candidates should make sure:

  • Name matches the application
  • Category is correct
  • Certificate belongs to the candidate
  • Certificate is valid for West Bengal recruitment
  • Issuing authority is competent

  1. OBC-A / OBC-B Documents

OBC candidates should be particularly careful because West Bengal OBC rules and lists can change through Government notifications and court orders.

The previous WBHRB advertisement specifically tied OBC eligibility to the applicable Backward Classes Welfare Department notifications in force up to the relevant application date.

For future recruitment, candidates should check:

  • Whether the community remains in the applicable list
  • OBC-A or OBC-B classification
  • Whether an updated certificate/NCL declaration is required
  • The exact cut-off date specified by WBHRB

Do not rely on an old OBC certificate without checking the new advertisement.


  1. EWS Certificate

Candidates claiming EWS reservation should keep the valid:

Income & Asset Certificate

for the financial year/period specified in the new recruitment notice.

The previous WBHRB advertisement followed the applicable West Bengal Government EWS rules.

Because certificate-validity periods can change from recruitment to recruitment, never assume that last year's EWS certificate will automatically be accepted.


  1. PwD Certificate

Candidates applying under a notified PwD reservation must possess the appropriate disability certificate issued by the competent:

Medical Board / prescribed authority.

The previous Staff Nurse advertisement required supporting certification under the applicable West Bengal disability rules.

Candidates should check the exact disability type and percentage permitted for the particular nursing post.

A general disability certificate does not automatically mean the candidate is eligible under every PwD sub-category.


  1. Application Form and Payment Proof

Once a fresh application opens, candidates should save:

  • Final submitted application
  • Registration/application number
  • Payment receipt
  • GRIPS payment proof where applicable
  • Confirmation page
  • Uploaded-document copies

Do not depend only on the portal remaining available months later.

Create a dedicated folder on:

Phone + Google Drive/Cloud + Printed file

for the entire recruitment.


  1. CBT Admit Card

If the recruitment again uses CBT, save:

  • CBT admit card/hall ticket
  • Candidate response sheet
  • Scorecard
  • Result/shortlist page

The previous Staff Nurse recruitment moved through CBT, shortlist, interview and final panel stages, and WBHRB published GNM scorecards and the GNM panel in February 2026.

These records can become useful if there is any later discrepancy.


  1. Interview Call Letter

Candidates shortlisted after CBT should download and print the:

Interview Call Letter.

A publicly available copy of the 2026 WBHRB Staff Nurse call letter instructed candidates to bring:

Two copies of the complete call letter

and:

Valid original ID proof

to the interview venue.

Candidates were also told to report on time, and electronic items such as mobiles, laptops, cameras and smartwatches were prohibited at the venue.


Do You Need to Carry Every Original Certificate to the Interview?

Not automatically.

This is an important point.

A 2026 WBHRB interview call letter stated generally that candidates:

«need not carry original documents except where specifically mentioned.»

At the same time, the same call-letter format specifically required original and two complete sets of self-attested photocopies of WBNC Registration/Reciprocal Registration for the applicable B.Sc./Post Basic B.Sc. Staff Nurse recruitment.

Therefore:

Always follow your own interview call letter.

Do not blindly carry only what an old YouTube video or generic blog says.


Practical Verification File: What Should You Carry Anyway?

Even if your call letter requires only selected originals, it is sensible to keep a complete document file ready before the interview/appointment process.

Folder 1 — Identity & Application

  • Interview call letter
  • CBT admit card
  • Application printout
  • Payment receipt
  • Aadhaar/Voter ID/PAN/other accepted photo ID
  • Passport photographs

Folder 2 — Age & School Qualification

  • Madhyamik/Class 10 admit card
  • Class 10 marksheet/certificate
  • Higher Secondary marksheet
  • Higher Secondary pass certificate

Folder 3 — Nursing Qualification

For GNM:

  • All GNM marksheets
  • Supplementary marksheets
  • GNM diploma/pass certificate

For B.Sc.:

  • All B.Sc. Nursing marksheets
  • Degree/pass certificate

For Post Basic:

  • All Post Basic B.Sc. marksheets
  • Degree/pass certificate

Folder 4 — Registration

  • WBNC registration certificate
  • Reciprocal registration certificate, if applicable
  • Renewal document, if applicable
  • Provisional registration where accepted

Folder 5 — Reservation

  • SC/ST certificate
  • OBC-A/OBC-B certificate
  • EWS certificate

This is a preparation checklist, not a claim that WBHRB will require every item physically at every interview.


Original + Photocopy Strategy

A safe practical arrangement is:

Originals

Keep in transparent folders, never staple original certificates.

Photocopies

Prepare:

2 complete self-attested sets

unless the call letter instructs otherwise.

Write:

“Self Attested”

with:

  • Signature
  • Date

on each photocopy where required.

Again, follow the exact call-letter instructions because the number of sets can vary.


Document Upload Rules: Legibility Is Critical

The previous WBHRB advertisement told candidates to upload documents in:

  • PDF
  • JPEG/JPG
  • PNG

as applicable, with a maximum file size prescribed by the portal.

Most importantly:

Every word and mark should be readable.

WBHRB warned that uploading the wrong document in another document's slot could result in rejection.

Do not upload:

  • Blurry WhatsApp screenshots
  • Cropped certificates
  • Half-visible marksheets
  • Black-and-white scans where seals become unreadable
  • Password-protected PDFs
  • Wrong certificate under the wrong field

Best Way to Prepare a “Running PDF”

If the portal asks for one combined PDF, arrange it logically.

  • WBNC registration obtained after the prescribed cut-off date
  • Missing nursing-year marksheet
  • Missing supplementary marksheet
  • Grade marks without conversion certificate
  • Unreadable upload
  • Wrong file uploaded under another qualification
  • Mismatch between application and certificate
  • Invalid category certificate
  • Incorrect date of birth
  • Experience period not supported by certificate
  • Certificate without authorised signatory/seal
  • Claiming a qualifica
